2026 Application Information – Food
Join Us at the 56th Annual Bluemont Fair September 19–20, 2026
The Bluemont Fair is a beloved, village-wide, two-day country fair that draws between 7,000 and 10,000 visitors each year. Our Foods areas are prominently located next to the Bluemont Community Center and in Hogan’s field next to the Beer & Wine Garden.
The fair is widely promoted across local, regional, and state channels, including:
- Community signboards and posters
- Our website and social media
- Newspapers, libraries, and community centers
- Retail stores, malls, tourism brochures
- The Virginia Artisan Trail Network
To ensure a diverse mix of foods, we limit any single medium to no more than 10% of the total. If you’d like to participate, we strongly encourage you to apply early—spaces are limited and fill quickly.

Space & Fee

Vendor Types & Fee
- Food Concessionaire: Products prepared on-site for consumption on-site. Cost per space (non-refundable): $200.00
- Specialty Food: A narrow food product line that is not produced on-site and not intended to be consumed on-site, such as syrups or salsas. Cost per space (non-refundable): $125.00
Space
- Size: 12′ x 12′. If your tent or unit is larger than 12’ multiple spaces must be purchased
- Spaces are assigned on a first-come, first-served basis as completed applications are received
- All space fees are for the 2-day weekend. No single days accepted
- Booths must be staffed from 10 AM to 5 PM on both Saturday and Sunday
- If desired, vendors must furnish their own tables, chairs and/or canopies
- Please be prepared for all weather conditions—the Fair runs rain or shine
Electricity, Water & Generators
We do not provide access to electric outlets or water faucets. Generators that produce excessive noise or exhaust will not be permitted. If your generator is found to be too loud or producing excessive exhaust, we reserve the right to relocate your booth or ask you to leave the fair. Please note that no fees will be refunded in such cases.

- Four (4) Fair entrance wristbands, two for each day (Saturday & Sunday). Additional wristbands may be purchased at the gate on each day of the Fair for $10 each.

New Food Vendors
New applicants must submit a file (in a common format such as PDF, Word, etc.) that includes
- Photos of the items you intend to sell
- Your menu or product description
- Photo/s of your booth setup
Once complete, this file needs to be uploaded in the file upload section of the form below.
Returning Food Vendors
If you participated in the 2025 Bluemont Fair, you only need to submit a new menu and photos if you are adding a new category of food. If you did not participate in 2025, you must resubmit your menu and photos as your application will be reviewed as if you are a new applicant.
Health Department Temporary Food Permit & Notice to Participate
All food vendors—including restaurants, mobile food units, and specialty food vendors offering samples—are required to complete and submit a Temporary Food Vendor Application and Notice to Participate, as applicable.
You must include one of the following with your Bluemont Fair application:

A receipt showing payment to a Virginia county or city health department for a food permit in the 2026 calendar year,
OR -
A valid license for a mobile food unit or permanent restaurant operation in Virginia,
OR -
An acknowledgment that you will send a $40 check, made payable to County of Loudoun, to the Bluemont Fair to cover the Temporary Food Vendor permit fee.
Important: Do not send your application or payment directly to the Loudoun County Health Department in Leesburg.
All materials must be submitted with your Bluemont Fair application so we can send them as a complete package.
All required documentation must be submitted by August 11, 2026. Your application will not be considered complete until all required materials have been received.
Liability Insurance
You are not required to provide proof of insurance when submitting your application. However, a Certificate of Insurance (COI) showing proof of liability coverage is required in order to participate in the Fair.
Please review the detailed requirements on our Vendor & Exhibitor Insurance page and make sure your COI meets these standards before uploading it using our online COI Upload Form.
The deadline to submit your COI is August 10, 2026. Your application will not be considered complete until we have received your COI.
Application Deadline July 1, 2026
Applications submitted after July 1, 2026, will still be considered as space allows; however, a $25 late fee per space will apply and you won’t be included in the publicity plan.
Application Status
You will receive an email notification regarding the status of your application by July 15, 2026. After that date, we will continue to consider applicants as space allows.
Payment & Final Documentation
If you’re accepted as a vendor, your confirmation email will include instructions for submitting any required documents and completing your payment. All payments will be made electronically by credit card. You’ll have seven (7) days from approval to make your payment. If payment isn’t received on time, your space may be forfeited. If you miss the deadline but still want to participate, please contact the Food Chair as soon as possible—your space may still be available, but it’s not guaranteed. A $25 late fee per space applies after July 1, 2026.

Signage
Prices must be posted for all menu items.
Accepted Forms of Payment
Vendors must accept credit cards.
Sales Tax
All vendors must collect and pay Virginia State Sales Tax on all merchandise sold. For more information, contact the Commonwealth Of Virginia Department of Taxation.
Health Regulations & Sampling
All vendors serving prepared foods or samples must comply with Loudoun County Health Department regulations and food hygiene guidelines.
Food Inspections
Food inspections will begin at 9:30 AM on Saturday.
Fair Participation

Pre-Fair Information Package
By September 1, 2026, you will get a “pre-fair information package” in the mail. This will include

- Map of the fair
- Your designated space(s)
- One (1) parking tag
- Every effort will be made to assign spaces so that similar food vendors are not placed next to each other. However, we cannot guarantee there will be no overlap—particularly with beverages and desserts.
Set Up
Bluemont Community Center (BCC) Only

Friday, September 19: 6:30 PM – 8:00 PM*

Saturday, September 20: 8:00 AM – 9:00 AM
*Important: The BCC parking lot will be used for child pickup on Friday until 6:30 PM. If you arrive early, do not enter the BCC driveway. Please proceed to the designated parking area at Plaster’s Field and queue there until 6:30 PM.
All Other Locations

Four (4) Fair entrance wristbands, two for each day (Saturday & Sunday) will be provided to you upon your arrival.
Security
The fairgrounds will be periodically patrolled on Friday and Saturday nights, but exhibitors are responsible for the security of their own materials at all times.
No-Shows
Failure to show up for the Fair without prior notice will result in removal from future Bluemont Fair invitations and communications.
Weather
The Fair will be held rain or shine. However, in cases of extreme weather that present safety risks, the Fair Administration reserves the right to cancel the event.
